Data-minimal by design.

This notice explains how Settle Trace handles an initial fit-review inquiry. It does not authorize the submission of customer data, files, credentials or authentic books.

Do not email credentials, files, client or store identities, customer records, transaction values or authentic books. An email is only a request for fit review, not acceptance into a pilot.

2. Why we use it

We use an inquiry only to assess fit, reply to the request, protect the stated data boundary and maintain the minimum record needed for the inquiry. An inquiry does not create a customer relationship, pilot, recurring subscription or permission for marketing follow-up.

3. Website and provider handling

The website is a static page hosted through Netlify. It has no public form, scheduler, advertising pixel, analytics configuration, chat widget, payment path or customer-data upload path. Initial emails are received through Google Workspace. Those service providers may process standard technical connection data or communications in locations outside Australia as part of providing their services.

4. Retention and unsafe material

Settle Trace intends to delete an unqualified inquiry and any unsafe attachment within 30 days, unless a separate legal, security or dispute record is required. If a message contains material outside the stated boundary, it may be quarantined or deleted without being used for product work. A qualified pilot requires a separate written data, retention and deletion boundary before authentic intake.

5. No AI processing of buyer data in the pilot

AI-assisted tools were used in product and document preparation. The founding-pilot comparison uses frozen deterministic rules over two agreed exports. Buyer data is not sent to an AI provider in that pilot unless a later change is specifically disclosed and agreed in writing before processing.

6. Access, correction and complaints

You may ask about the information in an initial inquiry, request correction or deletion, or make a privacy complaint by emailing pilot@settletrace.com.au. We will respond through the work contact you provide. If we cannot action a request, we will explain why where appropriate.

7. Changes to this notice

This notice may change if the actual provider, collection, pilot or data-handling path changes. The current version is linked from the Settle Trace website. Material changes to a qualified pilot’s data handling require a new written agreement before affected data is processed.
